Privacy Notice
This notice explains what personal information HTJ Tax collects, how we use and protect it, who we share it with, and the rights you have over your data.
HTJ Tax provides US and international tax and advisory services to individuals and to a range of entities, including companies, sole traders, partnerships, trusts and not-for-profit organisations. We take the privacy of your personal information seriously and handle it in line with applicable data protection law. This notice describes how we do that.
Information We Collect
We collect personal information directly from you when you engage us, contact us or use our sites and services. Depending on your circumstances, this may include:
- Your name, address, email address and telephone number
- Your date of birth and nationality
- Tax reference numbers and other identifiers we need to provide the service
- Information you provide when you contact us or submit documents to us
How We Use Your Information
We use your personal information for legitimate business purposes, including:
- To provide the services you request from us
- To manage our sites and services
- To comply with our statutory, regulatory and reporting obligations
We do not sell your personal information to marketing companies.
Sharing and Disclosure
We disclose your personal information to governmental or statutory bodies where we are required to, and where necessary to comply with a legal obligation. We may also share information in connection with a merger, acquisition or sale of our business. Beyond that, we do not share your personal information with third parties for their own purposes.
How Long We Keep It
We keep your personal information only as long as is necessary to fulfil the purposes we collected it for, including for the purposes of satisfying any legal, accounting or reporting requirements.
How We Protect It
We have put in place appropriate security measures to prevent your personal information from being accidentally lost, used or accessed in an unauthorised way, altered or disclosed. Access is limited to those who have a business need to have it. We also have procedures in place to deal with any suspected data breach.
Your Rights
Subject to applicable law, you have the right to request access to the personal information we hold about you, and to ask us to correct it, erase it, restrict how we process it, or transfer it. To make a request, email help@htj.tax. You will not usually have to pay a fee, although we may charge a reasonable fee, or decline to act, where a request is clearly unfounded or excessive.
Complaints
If you are based in the UK and have a concern about how we handle your personal information, you have the right to complain to the Information Commissioner's Office (ICO). You can reach the ICO on 0303 123 1113 or at casework@ico.org.uk. We would, however, appreciate the chance to address your concerns before you approach the ICO, so please contact us first.
US Clients
For our US clients, we maintain data protection, retention and access practices consistent with IRS guidance, including IRS Publication 5708, covering how taxpayer data is safeguarded, retained and made available only to authorised personnel.
